Working Trial Balance Delete Options (Desktop)
What it is: A set of options on the Working Trial Balance that let you remove trial balance data, links, individual accounts, or all empty accounts — for a selected year or across all years.
What it's for
Sometimes you need to start over with the trial balance data — for example, if an import went wrong, if you want to re-link all accounts from scratch, or if you need to clean up accounts from prior years that are no longer active. The delete options give you precise control over what is removed without deleting the client file itself.
How to do it
Available Delete Options
| Option | What it removes |
|---|---|
| Clear Trial Balance | Removes the imported balance figures and link assignments for the Selected Year, Selected Year and Prior Year, or All Years |
| Clear Link Numbers | Removes all link number assignments for the Selected Year or All Years (balances remain) |
| Set Trial Balance Amounts to Zero | Zeroes out all balances for the selected year (accounts and links remain) |
| Delete Row | Removes a single selected account row (only possible if the account has no balance — clear the balance first if needed) |
| Remove Empty Accounts | Removes all accounts that have no balances in any tax year (cleans up unused accounts across the whole file) |
Using a Delete Option
- On the Working Trial Balance, select the Delete menu.
- Choose the appropriate option.
- Select Yes to confirm the deletion.
Warning: Most delete operations cannot be undone. Use with care, especially on client files that have already been partially or fully linked.
